INDEPENDENT DOCUMENTATION AUTHORITY

IDA was founded on a simple belief.

Property condition should be documented, not assumed.

Why IDA Exists

Every year, countless decisions are made based on incomplete records, scattered photographs, memory, or interpretation. Construction projects move forward without clear baseline documentation. Properties change hands with limited records of condition. Repairs are completed without a consistent reference point for what existed before.

Despite the importance of property condition, the process of documenting it has remained largely informal.

IDA was created to change that.

At its core, IDA is guided by a single principle:

Capture what exists. Record it clearly. Preserve it accurately.

Documentation should not depend on memory, opinion, or circumstance.

It should be systematic, consistent, and capable of standing on its own.

This principle guides every IDA Condition Record and every project undertaken.

The Documentation Gap

Property documentation often exists in fragments.

Photos are stored across phones, emails, and cloud folders. Records are collected inconsistently. Important details are overlooked or never captured at all.

When questions arise months or years later, stakeholders are often left reconstructing events from incomplete information.

The result is uncertainty where clarity should exist.

IDA recognizes this gap and addresses it through a structured, independent approach to documentation.

The Mission

IDA’s mission is to establish a consistent standard for documenting property condition.

Through structured capture, organized reporting, and long-term record preservation, IDA provides a reliable framework for creating independent records that can be trusted over time.

The objective is not simply to document properties.

The objective is to improve the quality, consistency, and reliability of property records across the industries that depend upon them.

The Standard

The IDA Condition Record was developed as a repeatable system that can be applied across residential, commercial, and construction environments.

By following a defined methodology, each record is produced with consistency and independence, regardless of property type, project size, or stakeholder involvement.

The goal is simple:

To create documentation that is useful, reliable, and capable of serving as a trusted point of reference long after the capture itself has occurred.

Looking Forward

IDA believes that independent property documentation should become a standard part of responsible project and asset management.

Just as plans, permits, inspections, contracts, and financial records play a critical role in a property’s history, documentation of condition should hold the same level of importance.

As the industry evolves, the need for accurate, organized, and defensible records will only increase.

IDA exists to help establish that standard
