Process

IDA follows a structured and consistent process designed to document a property clearly, efficiently, and without disruption. Each step is intentional, ensuring every record is complete and reliable.

Consistency by Design

Most documentation falls apart because it isn't done the same way twice. One visit gets thorough photos, the next gets a handful of rushed shots on a phone, and neither one holds up well against the other. IDA exists to fix that by applying the same disciplined process to every project, regardless of property type or size. That process breaks down into seven stages, from the first conversation about scope to the long-term archive of the finished record.

Engage

Engage

Every engagement starts with a conversation, not a camera. Before any documentation begins, the project's scope gets clearly defined. This includes reviewing the property type and timing, along with the project's documentation objectives. A pre-sale walkthrough calls for a different approach than a mid-construction phase check, so getting this right up front keeps the rest of the process on track. This ensures the record is aligned with the specific needs of the project from the outset, rather than retrofitted after the fact.

Schedule

Timing matters more than people often expect. A documentation window is established based on project timing and site conditions, factoring in details like weather and lighting, plus whether the property is occupied or vacant. Coordination is handled to ensure access and readiness, while minimizing interference with ongoing work or occupancy. Whether that means working around a construction crew's schedule or a tenant's daily routine, the goal is to fit into the project's timeline, not disrupt it.

Capture

This is where the actual record starts taking shape. The property is documented using structured visual and spatial capture methods, moving through the property in a methodical, room-by-room sequence rather than a scattered walkthrough. Interior and exterior areas are systematically recorded to ensure full coverage and continuity, with each image time-stamped as part of the permanent record. Where applicable, aerial documentation is included to capture site-level conditions that ground-level photography can't reach.

The focus throughout is simple: capturing what exists, clearly and completely.

Organize

A folder of unsorted photos isn't a record. It's just data. All captured data is reviewed and organized to reflect the property's layout and condition, with each image sorted and labeled to match its location within the property. Images and information are structured in a way that's logical and easy to reference, so anyone looking at the record later can find what they need without digging. This step transforms raw capture into usable documentation.

Compile

With everything organized, the data gets assembled into a standardized IDA Condition Record. The report is formatted to clearly present the property's condition, ensuring all information is accessible and well organized. Because every record follows the same format, two records from different properties, or the same property at two different points in time, can be compared side by side without confusion.

Deliver

Once compiled, a complete IDA Condition Record is delivered to the client. The document serves as a clear, time-stamped reference of the property at the time of capture, free of opinion or interpretation. It's designed to be used and relied upon when needed, whether that's a few weeks later or several years down the line.

Archive

Delivery isn't the end of the record's life. The record is securely stored to ensure long-term accessibility, so it doesn't get lost in an email thread or a phone's camera roll. This creates continuity, allowing the documentation to be revisited as the property evolves or when future questions arise, sometimes long after the original engagement is over.

A Controlled System

Each step in the IDA process is designed to remove variability and ensure consistency across projects. The result is not just documentation, but a reliable system that produces clear, repeatable records over time.
