Property Condition Documentation for Owners

Most property owners have no organized record of their home or building's condition until something goes wrong. By then, the baseline is gone and the conversation becomes one side's word against another's. IDA creates that record before you need it, so you're never in that position.

Why Documentation Matters Before the Moment of Need

The value of a property condition record is almost entirely dependent on when it was created. A record made before a sale, a renovation, or a tenant moving in is a neutral, independent baseline. A record made after a dispute has already begun is documentation under scrutiny. The difference between those two things is significant.

Most property owners don't think about documentation until something prompts them to. A contractor dispute, a buyer raising condition concerns after closing, a tenant claiming damage that was already there, a renovation that uncovered something unexpected. By the time any of those situations arrive, the window to establish a clean, undisputed baseline has already closed.

IDA exists to help property owners get ahead of that problem.

When Property Owners Engage IDA

There's no single right time to document a property's condition, but there are several moments where having an independent record provides significant, tangible value.

Before a Sale or Transfer

Condition at the time of sale is one of the most frequently disputed topics in residential real estate. Buyers who discover issues after closing often claim those issues were present, undisclosed, or misrepresented. A pre-listing IDA record establishes an independent, time-stamped baseline of the property's condition that doesn't rely on disclosure forms alone. It documents what was there and what wasn't, clearly and completely, before any transaction takes place.

Before a Renovation

Renovation projects have a way of generating disputes: with contractors over workmanship, with neighbors over damage, with insurers over what existed prior to the work. Documenting the property before renovation begins creates a neutral reference point that protects the owner on all three fronts. If a contractor claims a condition existed before they arrived, the record answers that question. If a neighbor claims your renovation damaged their property, the record documents what the shared areas looked like before the first tool was picked up.

Before a Tenant Moves In

Move-out disputes are among the most common conflicts between landlords and tenants, and they almost always come down to the same question: was that damage there when they moved in? A pre-occupancy IDA record provides a thorough, independent baseline that goes well beyond a standard move-in checklist. When the tenancy ends and condition becomes a question, neither party is relying on memory or a form that was signed in five minutes on move-in day.

After Repairs or Restoration

When significant repair work is completed, whether following storm damage, a plumbing failure, or any other event, documenting the repaired condition independently verifies what was done and what the property looks like afterward. This protects against future claims that repairs were inadequate or that conditions changed after the work was completed.

Establishing a Long-Term Record

Properties change over time. Systems age, finishes wear, improvements get made. Establishing periodic IDA records creates a documented history of a property's condition that can be referenced at any point in the future, whether for insurance purposes, estate planning, or simply knowing what you actually own and in what condition.

What the Record Includes

Each IDA Condition Record is produced through a structured capture process designed to document the property thoroughly and consistently. The record may include:

  • High-resolution, time-stamped interior and exterior imagery
  • Structured room-by-room visual documentation
  • Aerial and site-level documentation where applicable
  • Spatial reference through sketch or scan integration
  • Organized, clearly formatted reporting designed for easy navigation and future reference

The result is a record that can be reviewed by anyone, an attorney, an insurer, a buyer, a contractor, and clearly understood without any additional context or explanation.
